Administrative Support Technician

Location: Casper Wyoming

Position requires working with federal grant programs, facilitating public meetings, enjoyment in w! orking with numbers and high-level accounting, customer service, multi-tasking and project management.

Incumbents perform a variety of technical duties with moderate to higher difficulty relating to clerical tasks and administrative support. Responsibilities may include financial and budget tracking, grant management, financial and fiscal reporting, records management, work orders, and processing accounts payable/receivable. Receives general supervision from assigned supervisor.

Typical Class Essential Duties:
1. Processes accounts payable and/or receivables including calculating and determining and settlements or adjustments needed; research, track and coordinate all accounts payable and/or receivables.
2. May track, post entries, balance accounts, reconcile, review, submit reports and comply with all requirements relating to grants; and serve as the point of contact for any grant compliance and/or internal audits.

3. Assists in cu! stomer service, coordinating events, attending meetings and as! sisting with agendas and minutes, and inventory control; research and respond to inquiries and requests.

4. Complies with all reporting functions required with accounts being managed.

5. May create invoices and refund payments.

6. Reviews and monitor budget for one or more specific assigned areas.

7. Maintains records of activities and prepares operational reports.
8. Coordinate, compile, and submit information to provide to other departments, boards, and agencies.
9. Create, input, and retrieve a variety of fiscal and statistical information in an electronic database.
10. Represent the City of Casper by responding to the public, citizens, its employees, and others in a prompt, professional, and courteous manner while continuously maintaining a positive customer service demeanor.

11. Follow all City safety procedures. Reports all accidents/incidents immediately to supervisor.
12. Performs other duties of a similar! nature or level.

Knowledge of:

  • Modern computer software programs such as Microsoft Office.
  • Modern office procedures, methods and use of technological equipment including database management.

  • Prepare clear and concise reports.
Skill in:
  • Operating in a courteous, knowledgeable and tactful manner with customers, staff and the general public.

  • Operating modern office equipment, software and operating systems/applications.
  • Using a computer and related software applications.

Qualifications:
Training and Experience:
  • Minimum of two years experience in increasing responsibility with more complex clerical work relating to accounting, statistical, financial, grant management, or similar operations in a closely related field.
  • High school diploma or equivalent (G.E.D.) required.
  • Associate’s degree in accounting, business, or related field preferred.
  • Specialized experience and/or training in accounting, business, or grant administration preferred.
Licensing Requirements:
  • Possession of, or ability to obtain, a valid Wyoming Driver’s License.
